Flow

  1. 01

    Write

Send a note or reserve hours. Both are stored. Both are emailed to you and to the studio.

    Input
A note on the contact form or a checkout line while signed in
    Output
Stored enquiry and confirmation emails to you and the studio
    Who
You send · the site stores · mail delivers copies
  2. 02

    Read

A person reads the job and replies by email.

    Input
The enquiry in the studio inbox
    Output
A reply by email with questions or a suggested line
    Who
A person at the studio reads and answers
  3. 03

    Scope

Fixed work gets a written boundary. Monthly work is named as a month at the hourly rate times 30.

    Input
The job described in the thread
    Output
A written boundary, rate, and review step in email
    Who
The studio drafts · you argue with the scope in reply
  4. 04

    Confirm

Work starts when the scope is confirmed, not when the form is sent.

    Input
    The scope email
    Output
An agreed block — fixed or monthly
    Who
You confirm before hours are spent
  5. 05

    Deliver

Hours are spent on the agreed items. A larger surprise becomes a new block instead of a silent overrun.

    Input
    The confirmed scope
    Output
Hours on agreed items; surprises become new blocks
    Who
The studio builds · you review against the written edge
  6. 06

    Close

Care, if you want it, is a separate monthly block.

    Input
    A finished block
    Output
Handover note; care only if you want a separate month
    Who
Both sides · care is optional and named separately

In practice

The six steps are short because the scope does the explaining.

Write, read, scope, confirm, deliver, close. Most of the time sits in the scope. That is where the job is named, the out-of-scope list is written, the review step is assigned, and the hourly rate or the month is confirmed.

A fixed block ends at close, with a note of what changed and what was left. A monthly block does not “close” in the same way. It refreshes. At the end of a month we still write what the hours were spent on, because a retainer without a note becomes a feeling.

You can stop after the reply. Plenty of notes do not become work. That is a successful use of the form. We would rather decline a muddy job than invent a bundle for it.

What we will ask if the note is almost ready

  • Who is blocked this week? A person, a team, or a customer waiting on a page or a record.
  • What does done look like in a sentence? Not a vision. A thing someone can click, file, or stop retyping.
  • What already exists? The site, the sheet, the inbox, the booking tool, the help centre.
  • What must stay manual? The approval, the exception, the message to a customer.
